This notice covers the current website and email enquiry process. It will be updated before online checkout, customer accounts, analytics or an LMS learner portal is introduced.

1. Who handles your data

QTC Learning Systems handles enquiries about this website and its services. Contact us at portal@qtclearningsystem.com for privacy questions or to exercise your rights. The legal entity responsible for this service and its postal contact details will be identified before the site is opened for public enquiries.

2. Information we receive

When you email us, we receive the name, email address, organisation, LMS requirements, selected course interests and any other information you include. Our hosting and email providers may process technical information needed to deliver and secure the service, such as IP address, browser information, time of access and message metadata. Please do not send sensitive personal information in an initial enquiry.

3. Why we use it

We use enquiry information to respond, prepare a proposal and manage a potential business relationship. We rely on our legitimate interests in handling business enquiries and, where appropriate, steps requested before entering a contract. We use technical data to deliver, maintain and protect the website on the basis of legitimate interests. If a legal duty requires us to retain or disclose information, that processing is based on legal obligation. We do not currently use the enquiry to enrol you in a marketing list.

4. Sharing and international processing

Access is limited to people and service providers who need the information to run the website, email and proposal process, including hosting and email providers. We may share information with advisers or authorities where required by law. We do not sell enquiry data. Providers may process information in other countries; where UK data protection law requires a transfer safeguard, we will use an appropriate legal mechanism and can provide details on request.

5. How long we keep it

We keep enquiries while responding and assessing a potential project, then review whether they remain needed for follow-up, record keeping or legal claims. If a contract is agreed, relevant correspondence may be retained as part of the contract record for applicable legal and accounting periods. Technical logs are retained according to operational security needs and hosting provider settings. You can ask about the criteria applied to a particular record.

6. Cookies and tracking

The current site has no analytics or advertising cookies. The course selector works in your browser without storing your choices. We use browser local storage only to remember when you dismiss the cookie notice. The hosting service may use essential technology for security, delivery or protected access. See our cookie information for details. If optional tracking is introduced, we will update the notice and provide a choice before it is enabled.

7. Your choices and rights

Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your personal information, or object to processing based on legitimate interests. You can contact portal@qtclearningsystem.com with a request. If you are in the UK and remain concerned, you may complain to the Information Commissioner’s Office.

8. Updates

We will revise this notice if the service or our processing changes and update the date above. A new checkout or LMS service will have the details needed for that service before it goes live.
